Setup or Modify Voicemail Greetings Options
When you first get an extension on our phone system, you have to setup a couple of
items before callers can leave you a message:
- Your voicemail password
- Your name announcement
- Your voicemail greeting(s)
Or, you might want to change what you already set for these.
IF This is First Time Accessing Your Voicemail:
The first time you access your voicemail, it will have you change your password and
record your name announcement.
- Press the Voicemail button on your phone. Or dial 5656.
- If the display prompts you to enter your password, press the Call VM button on the lower left to switch to audio voicemail.
- Enter this password: 1234.
- The system will prompt you to change your code. Enter a 4 - 6 digit code; enter it again to confirm, then press # to finish.
- The system will prompt you to record your name announcement. When you leave a voicemail for someone else on our system, this is the announcement that plays before your message on their voicemail box. Record your name; then confirm it by pressing #.
- You are done with basic setup. You are now at your extension's main menu; while you are in this, you should record at least one greeting.
IF You Want to Modify Your Greeting’s Options
- Press the Voicemail button on your phone.
- If the display prompts you to enter your password, press the Call VM button on the lower left to switch to audio voicemail.
- Enter your voicemail password.
- Press '7' to go to mailbox options.
- If you want to change your voicemail password, press 4.
- If you want to change your name announcement, press 6.
- Follow the system prompts to complete these.
Change One or More Greetings
Your extension can be set to multiple States or Modes such as Available, In a
Meeting, or Out of Office. Each State has a different greeting. Your phone should start in the state Available. To record a greeting for that State:
- Logon to your Mailbox.
- Press 7 to switch to the Personal Greeting menu.
- Press 1 to hear your current greeting. Press 2 to re-record.
- After you record, press #. The system will play your greeting back. Press # to save it. Press * to cancel.
- Remember that each State has a different greeting. To record a greeting for a different State, first switch your extension to that State. Your phone has a State or Mode button (depending on your phone model). Press that and select the State you want.
- Then logon to your Voicemail box and use steps 1 - 3 above to record that greeting.
